Are there common problems and errors?

Our handy hints could help you fix common problems and errors that some bulk uploaders have reported.

My data has not changed after an upload

If your data does not change in your accounts after uploading your files, passing validation and completing the bulk upload, you need to check your files' STATUS column.

By default, when you download your current data each status is set to UNCHECKED. This means you do not want anything to update, but you do not want that workplace or staff member to delete either.

If you want your data to update, the status must be set to either UPDATE, NEW or UNCHANGED.

File not recognised

This file was not recognised. Use the guidance to check it's set up correctly.

If you see a dash (-) under Type and Records when you select your files or you get the file was not recognised message when you click validate, the reason is normally because:

  • some headings are incorrect or missing
  • there's hidden data in your file
  • the file was not saved as a CSV (comma-separated values) file

Error message on ALLJOBROLES

ALLJOBROLES and VACANCIES do not have the same number of items (i.e. numbers and/or semi-colons):

This error is caused when semi-colons are missing from columns that are dependent on other columns.

For example, if ALLJOBROLES is set to 8;4;6, then VACANCIES should be something like 2;1;1.

In this example, we’re saying job role 8 (care worker) has 2 vacancies, job role 4 (registered manager) has 1 vacancy and job role 6 (social worker) has 1 vacancy.

Error on missing Registered Manager

You do not have a staff record for a registered manager therefore must record a vacancy for one:

This error will come under Workplace, but it could be an issue with your staff records.  All regulated services must have a registered manager (RM) or a nominated individual acting as RM.

If you do not have a staff record for an RM, then you must record a vacancy for one. If you do have a staff record for an RM and get the do not have a staff record message, then check your staff records to make sure you've coded the RM job role correctly as 4.
